Headless CMS or WordPress: which suits your organisation?

Practical comparison of headless CMS and WordPress. Pros and cons, cost ranges, editorial effort, SEO impact and a selection checklist.

Dela:

You need to pick: WordPress or a headless CMS. Both are mature options, but they suit different needs. This guide compares pros and cons, gives cost ranges, discusses editorial effort and SEO impact, and ends with a checklist you can apply immediately.

I write from experience building bespoke sites and apps. Sometimes WordPress is faster and cheaper. Sometimes headless is the smarter investment—especially when you serve multiple channels or strict performance targets. There’s no universal answer, but there is a practical way to decide.

When WordPress makes sense

WordPress is the obvious choice for content-driven sites where editors manage pages without daily engineering support.

  • Advantages
  • Fast to launch using themes and plugins.
  • Familiar editing UI for non-technical staff (Gutenberg).
  • Rich plugin ecosystem for SEO, forms and e-commerce.
  • Lower upfront cost: small brochure sites can be done for a few hundred to a few thousand euros.
  • Drawbacks
  • Performance needs attention; default setups can be slow.
  • Security requires ongoing updates and hardening.
  • Multi-channel publishing and complex frontends are harder to implement.

Follow platform hardening and backup recommendations; WordPress has specific guidance at https://developer.wordpress.org/advanced-administration/security/hardening/ and https://developer.wordpress.org/advanced-administration/security/backup/.

When to pick headless

Headless means content is served via an API to separate frontends. Your frontend can be static, SSR, or an SPA.

  • Advantages
  • Freedom for the frontend: pick frameworks and optimise for speed.
  • Excellent scalability and faster perceived performance when implemented well.
  • Single source for multiple channels (web, mobile apps, kiosks).
  • Smaller public attack surface for the live site.
  • Drawbacks
  • Higher initial development cost for APIs, previewing and integrations.
  • Editor preview and WYSIWYG require additional engineering.
  • More DevOps complexity for builds and deployment.

Headless is a fit when you have many channels, tight Core Web Vitals targets, or complex integrations. Read about Core Web Vitals to understand which metrics to focus on: https://web.dev/articles/vitals.

Cost estimates (indicative)

All projects differ. These are indicative ranges.

Small brochure

WordPress (build + basic hosting)
800–5.000 EUR
Headless (build + hosting)
2.500–8.000 EUR

Mid-size content site

WordPress (build + basic hosting)
4.000–15.000 EUR
Headless (build + hosting)
10.000–35.000 EUR

Complex / enterprise

WordPress (build + basic hosting)
15.000–60.000+ EUR
Headless (build + hosting)
30.000–150.000+ EUR

WordPress is cheaper for simple sites. Headless has higher upfront costs due to frontend engineering, but it can reduce long-term costs if you reuse the content across channels.

SEO and performance

SEO basics remain the same: indexable content, correct metadata and mobile accessibility. Google’s SEO starter guide covers the fundamentals: https://developers.google.com/search/docs/fundamentals/seo-starter-guide.

Key points:

  • Rendering: ensure content is server-side rendered or pre-rendered so search engines can access it quickly.
  • Core Web Vitals: optimise LCP (Largest Contentful Paint), INP (interaction responsiveness), and CLS (layout stability) as they affect rankings and UX. See guidance at https://web.dev/articles/vitals.
  • Mobile-first indexing: ensure your mobile site contains the same primary content as desktop.

Practical steps:

  • WordPress: enable caching, use a reputable host, minimise render-blocking resources and test Core Web Vitals.
  • Headless: choose SSR or static generation and deploy via a CDN; build an editor preview to match live output.

Editorial workflows

Editors expect predictable WYSIWYG, simple media upload and instant preview. WordPress provides most of that out of the box. Headless requires either a headless CMS with a good UI (commercial SaaS options exist) or engineering to replicate the editor experience.

Questions to ask:

  • How many content types and templates do you need?
  • How many non-technical editors will use the CMS?
  • Do you need a live preview and workflow approvals?

If you need complex data models and multiple outputs, headless often gives a cleaner long-term solution. If you want low-friction content creation, WordPress wins.

Security and operations

Both approaches need monitoring, backups and a restore plan. WordPress sites need plugin- and core-updates. Follow the platform hardening docs: https://developer.wordpress.org/advanced-administration/security/hardening/.

Headless requires secure APIs, proper auth, rate limits and observability. Regardless of choice, plan your backup and recovery procedures.

Quick checklist to decide

  • Scope: single website or multi-channel?
  • Editors: technical or not?
  • Performance: strict Core Web Vitals targets?
  • Integrations: CRM, headless commerce, third-party APIs?
  • Budget: limited or flexible?
  • Maintenance: who will run updates and monitoring?

If multi-channel and performance-critical: headless. If fast launch, low budget and many non-technical editors: WordPress.

Implementation tips

  • WordPress: choose managed hosting, set automated backups and updates, vet plugins and use caching + CDN.
  • Headless: choose SSR/SSG (Next.js, Nuxt), provision a CDN, implement preview APIs and secure your content API.

If you need custom workflows, integrations or a web-app that consumes content, consider building it as bespoke software. We deliver senior-led projects including custom web apps; see our maatwerk-software and web-app-laten-maken services.
